Background

This project focused on enhancing an internal portal that served as a document workflow hub for employees, streamlining essential business processes. One major pain point identified through user feedback was the complexity of uploading documents, a daily task for many.

 

MY ROLE

As part of the UX team, my role was to improve the document upload experience. This was a small, focused user story within a broader Agile project aimed at refining the product’s overall design.

 

Approach

We brainstormed solutions to address the diverse needs of employees across various roles, age groups, and tech proficiency levels. Key factors included:

  • Supporting different file types and upload permissions

  • Allowing single or multiple file uploads

  • Creating clear error-handling for potential issues

Task Flows

I designed task flows to improve the upload process:

  1. Single File Upload: Users could either click an "Add File" button or drag-and-drop a file.

  2. Multiple File Upload: The same two options applied, with the ability to upload multiple files at once.

Error Handling

I also helped map out error scenarios, which was treated as a separate user story. Inline validation was prioritized, with specific error messages that guided users on how to fix issues, reducing frustration.

Reflection

Though I wasn’t able to see the project through to completion, I would have loved to test the new design’s effectiveness through benchmarks like:

  • Time spent on task

  • Success rate (pass/fail)

  • User preference for upload method (dialog box vs. drag-and-drop)

With these insights, we could iteratively improve the solution in future sprints.
